THE COMPANY
Newton Property Management was founded in 2001 with an aim to shake up the property management business. Property owners had lost faith in factors and Newton was the introduction of a modern approach to factoring putting people first and profit second.
THE ISSUE
Newton Property Management were dissatisfied with their existing print provider, feeling a lack of attention and long-term support. With multiple photocopiers and printers spread across four sites, they felt the provider was more focused on securing the five-year contract than delivering ongoing service and value.
When Head of IT Callum joined the business, he quickly identified inefficiencies in the printing process, most notably, a significant amount of wasted paper from uncollected print jobs, and employees mistakenly picking up each other’s documents.
Recognising the need for better control and security, he began exploring print management solutions that include secure print release via ID cards. His aim was to reduce unnecessary printing, gain visibility into print usage and support the company’s broader objective of moving towards a more paperless environment.
Robust reporting from a print management system was seen as a key enabler of this long-term goal.
THE SOLUTION
Document Data Group began by conducting a print audit across the sites to assess existing devices and understand the specific requirements of each department. At the Aberdeen office, this immediately highlighted inefficiencies. 9 individual desktop printers were removed and replaced with just two multifunctional devices. This consolidation eliminated unnecessary equipment.
Print Management software was implemented company wide, enabling secure print release and providing detailed reporting on print activity. This gave the business greater control over its print environment and helped drive a culture of accountability around print usage.
By transitioning their entire print fleet to Document Data Group, including the introduction of print management software, Newton Property Management successfully reduced its overall print spend by 30-40%.
